A few things….

Hi everyone,

First, there is a new Technician Appointment sheet that will be used for all tech appointments in place of the blue or pink sheet.  Please familiarize yourself with it.  It will go behind the brown and purple sheets on the left side of the chart.  Use this sheet for all tech appointments.  We will not print a vaccine sticker so please check in the computer to make sure that if they come in just for tnt’s that they are up to date on a rabies and if they are a patient make sure they are not due for anything.

Second, there are new codes in the computer to use if a patient has a rehab package or a laser package.  Each time the patient comes in for laser or rehab make sure to put in the code.  For example:  Ollie Monson has a laser package.  He has a package of 6.  There are now codes in the computer: Laser #1, Laser #2, Laser #3 and so on.  Use the codes in reference to what laser number is he on.  That way we can keep track a little better via computer how many laser tx’s have been utilized under the package.  Make sense?  Hard to explain in writing.  Let me know if you have questions.

The PHCP’s have increased in price so please refer to those when quoting pricing.

I wanted to make a general announcement about the schedule.  I talked to a few staff members last week about it but want to make sure everyone is on the same page.  The doctor schedule and staff schedule can be challenging.  We have always tried our hardest to give each of you the schedule you have requested.  I do think we have done a very good job at doing that.  With that being said, we do ask for some flexibility in return.  I only ask you to change your schedule or to pick up a shift to cover a fellow employees shift.  That employee may be on vacation, at ce or needed the day off for personal reasons.  It’s give and take.  You will take a vacation, go to ce or may need a day off and someone will have to cover you.  Please keep that in mind.  We are a small clinic so we don’t have many people to ask to cover shifts nor many options.  We obviously have a business to run and we need the shifts covered in order to do the best job possible.

In regards to calling in.  Please call in at a minimum of two hours before your shift.  Please call my cell phone. Obviously things come up but the sooner you tell me you won’t be here the sooner I can come up with a solution.  As mentioned above, we are small and account for each of you to be here for your scheduled shift.  Having one or two shifts not covered really puts a wrench in the daily operations.  Please be prepared with a back up plan if you have kids who may get sick or have a snow day.  Obviously, life happens and if you have a very sick child or you are vomiting, you need to stay home and we respect that.  Also, it’s very helpful if you take it upon yourself to get your shift covered.  Be sure to let me know about it so I can change it on the schedule.  Please be sure to tell me as soon as you know you need time off.  I put that in the schedule as soon as I get it.  We really can’t have more than 2 people gone at the same time.  If you want to take a vacation or to take time off please refer to the schedule and try to take time off when either nobody or  just one other person is gone.  Thank you for your understanding in regards to the schedule.  It’s one of the most difficult things but one of the most important!

January Schedule

Hi everyone,

Dr. Rutsey and Dr. Putt are taking time off in January.  We have a few days with only one doctor.  If you could volunteer to take a day off that would be great!  If people are not offering then we will have to choose for you and we will do it as fair as possible.

1/12 2 people need to take off

1/16 (MLK Day-no school) 2 people need to take off

1/17 2 people need to take off

1/21 1 person needs to take off and switch to 1/28

Hours

We are going to be closed the Friday after Thanksgiving.  Enjoy your time off!  Since we are going to be closed the day after Thanksgiving, we may stay open later than 5 on the Wednesday right before Thanksgiving.  Those of you working that day, Please plan on being here until 7.  That way it’s a bonus if you get out early!

We are going to be closed both Christmas and New Years Eve.

December 17 which is a Saturday, Dr. Putt may be taking off.  We’ll know as it gets closer.  We may need one or two people to take that day off if she does not come in.

A few more things…..

In regards to clients having issues with paying for the preventative care exam, please inform the clients of our preventative health care packages.  They can take advantage of the discount the package gives as well as never paying to see the doctor again.

Our CVVH pads of paper cost a lot of money.  Please use those for writing memos to clients not for scrap paper.

We are changing how we handle things for inventory.  Whenever you take an item off the shelf for in house use or for a charity basket, please write it in my book in my box.  I will have a separate section for that.  Please make sure you write everything down on that pad that you take off the shelf.  Thanks!

Anyone opposed to having an employee phone list??  I was going to put together an employee phone list and have it available on the portal as well as to print off.  That way we all have everyone’s phone numbers if we need to get a hold of each other.  Please let me know if you don’t want me to share your number by Monday November 7.  Thanks!

11/1/16 Memo

Hi ladies,

I have put in the team calendar all time off requests that I have received.  Please check the calendar to make sure I have your time off.  Also, if you would like time off, please check the calendar to see if someone has already requested time off during the same time you want off.  It gets difficult if any more than 2 people are off at the same time so I am trying to limit that.

Also, any ideas for a holiday party this year?  We’re open to any ideas you have!  Let me know.

As you all know, we require a 6 month preventative care exam.  We will not waive that for anyone who is coming in for an appointment.  Even if the patient is just due for a bordatella.  We need to be comfortable having that conversation with clients.  If you are not comfortable then please get me or Dr. Putt to go in with the client.  If the patient is due just for a preventative care exam when coming in for surgery then please change the preventative care due date to the date that things are due next.  For example- a dog is coming in for a dental cleaning but is due for a preventative care exam but da2pp, rv and hwt are due in December.  Change the exam due date to December.  Clear as mud?  Let me know if you have any questions.

November Schedule

Hi all!

Please let me know as soon as you can, any time off you need in November.  Also, if you need a Saturday off, please take it upon yourself to try to switch with someone.  Let me know the shift changes so I can change them in the schedule.  If you can not find someone to switch with you then let me know and I’ll see what I can do.

There are three days that the doctor’s schedule is light and I’m looking for volunteers to take the day off.  If we don’t have any volunteers then I will need to ask staff members to take the day off and will make sure to keep it as fair as possible.

I need two people to take 10/31 off. (We are closing early for Halloween. There will ne no surgery or dentals that day)

I need one person to pick up 9-7 shift 11/2 (So if you take 10/31 off maybe you could work 11/2 so you don’t lose any hours??)

I need two people to take 11/28 off. (Dr. Putt is taking the day off so we will only have one doctor that day seeing appointments. There will be no surgery or dentals)

I need one person to pick up 9-7 shift 11/30 (So if you take 11/28 off maybe you could work 11/30 so you don’t lose any hours??)

I need two people to take 12/1 off (That’s the day of our memorial service. We will be closing early.  There will be no surgery or dentals that day).

Schedule

Hi everyone,

Wow!  I can’t believe we are almost out of September!  I have the October schedule finished.  Please review your shifts and let me know if anything looks inaccurate.  Some shifts may be different due to time off requests so please triple check your schedule.  Please submit any time off needed as soon as you know.  This helps with finagling the schedule and making sure I have people available to fill all shifts needed.  Thanks!

Here are some important dates to remember………

Halloween picture day is October 16 from 11-1.  All are welcome to help out! (You are paid to come help)

October 31 we are closing at 4 so we can celebrate Halloween with our kids!

December 1 from 6-8 is our Pet Memorial Service (Please plan on being here if you are scheduled but again all are welcome and will be paid)

December 4  from 12-2 is our Santa pictures!!  All again are welcome to help out! (You are paid)

Tech week (Which we turn into staff appreciation week) is the week of October 16.  We are in the middle of some fun plans for that week!  Stay tuned for more details……….

October 15 is our 4 year anniversary!!!!!  Yay!  Time flies when you’re having fun.

We have two anniversaries this month!!  Yay to Jenny who is celebrating two years with us and Katie who is celebrating one year with us!  You both are amazing people and a great asset to our team.

Important Info

Hey everyone!

I want to welcome Jaime and Carrie to our team!  These ladies are fantastic and will be amazing additions to our team.

Please help them feel welcome, help train them and help with any questions they may have.

Please submit to me any schedule changes/requests asap for the fall so I can get the schedule worked out for September.  We try our hardest to be as flexible with the schedule as possible and offer the schedule to you all that works for you.  Please understand, though, that we are a business and need all shifts filled to be able to operate appropriately.  There may be shifts that you may not love but is necessary to work.

Please work very hard at trying to remember to clock in and out.  It is impossible for me to stay on top of everyone’s schedule, times, etc.  It is very important that these times are accurate for payroll.  If you forget to punch in, out, or if your times look inaccurate in the computer then leave me a note ON MY DESK NOT IN MY BOX.  Thank you!

All shipping charges are included for all lab tests that have codes in the computer.  If you are adding a misc. lab test and it needs to be shipped then you will need to add the shipping and handling code to take care of those additional fees.

Please make sure you are getting drivers license numbers and birth dates for all controlled substances that are dispensed.  This is not a hospital policy, this is a State of Michigan requirement that is regulated by the DEA and will revoke licenses, issue fines, etc. if the protocol is not followed through.  Please understand the importance of the matter and follow through.

Please make sure you are filling out the PHCP monthly payment form for Payment Banc thoroughly and correctly.  I need all the owners info, phone number and email address written on the form .  I need the credit card number and expiration date on the form with the type of PHCP and the correct monthly payment and total payment.  All of this needs to be legible!!!  Do not take short cuts with this!!  The monthly and total payments are incorrect most of the time.  Triple check yourself!

Please follow the doctors schedule in the computer.  Please save the red areas for same day medicals, emergencies, etc. Do not book those before that day. Those are there for same day issues for people that need to be seen that day.  Please be realistic on how you are scheduling.  For example, we can not double book a doctor with two medicals then have a 10 minute medical after that, then a euthanasia that’s booked for 20 minutes after that and think that the doctor is going to stay on time and be able to give each patient and client the time they deserve.  Please do not book dentals and surgeries beyond what is open in the computer with out asking.  For example, there are days where I only allowed time slots for 2 surgeries and 1 dental.  It is that way because we have skeleton staff available that day and have to be realistic about what we will be able to get done.

We have been very busy and we appreciate everyone’s hard work and dedication.  Please know that it does not go unnoticed……..

Laurel-thank you so much for all your hard work in reception when you were by yourself.  You did an amazing job!  I appreciate how awesome you are at multi tasking and how amazing you are with all the phone lines!!

Beth-thank you for all your knowledge!  You are a wealth of knowledge.  And for also being “a therapist” for our clients.

Heather-thank you for all your hard work with appointments, keeping up with stocking, helping out back in surgery when packs, floors, laundry need to be done.  You are a super star!

Dianna-thank you for multi tasking.  Rehab, technician, receptionist, etc.!  You are amazing!  Thank you for cleaning the food closet!!  I seriously can not tell you how much I appreciate that!  I dread ordering food every week because I don’t want to have to face that closet!! Also, thank you for being the dental radiologist extraordinaire!!!!! You have amazing skills!

Katie-thank you for all of your knowledge and willing to multi task and work hard!!!  Thank you for being so flexible and so willing to help out with the schedule.  I appreciate it!!!

Jenna-thank you for being almost ready to pop and still working your tail off!!!  With swollen ankles and everything!!!  You are seriously a super star!!  Still working 40 hours, doing a great job, willing to help out and still having a smile on your face.  I appreciate it!  You are amazing!!!

Jaci-thank you for being the “Jaci of all trades”!!!!!  You are always so polite, happy and willing to help out where needed.  Thank you for your flexibility, multi-tasking and always so willing to help take things off my plate.  I can’t tell you how much I appreciate that!!

Jenny-super woman!!  You have a full time job at home with your kids and horses but yet still come to work here always ready to go, stays positive and I really feel you put your whole heart and soul into your job.  I appreciate your dedication!!!  You come to work sick, tired, and no one would know!  You are an amazing person!  You are always so willing to learn and always willing to help out!!!

Jaime-you are doing great!  It’s a huge change of life to change jobs.  You are doing an amazing job!  Keep it up!!  We appreciate you adjusting to our protocols! You are so open to learning new things which is so great!

Carrie-you are doing an amazing job!  You are so willing to jump right in, learn, and you stay so positive through all the craziness.  Thank you!!

Dr. Nap-you are my hero!  Seriously.  You are amazing.  You are a breath of fresh air.  You are so positive, so strong and I appreciate how dedicated you are to your job while having to go through an extremely tough time physically and mentally.  Keep it up girl, you’re almost there!

Dr. Rutsey-thank you for always teaching and for always staying on top of all new things in the medical/veterinary world.  Thank you for multi-tasking and being such a great part of our team.

Dr. Putt-we wouldn’t be here with out you!!  Thank you!

Team Meeting Review

Hi ladies,

We had a great meeting last Thursday!  Here are few key points to recap as well as a few more things we wanted to go over:

*Please put any nice dish towels and/or washcloths on the steps for Dr. Putt to take home to wash.

*We have generic Rimadyl which is in the computer as Carprieve.  The Carprieve is on the shelf in the lab next to the Rimadyl.  Please dispense Carprieve for all neuters/spays as well as any other patient you are comfortable with.

*PHCP’s are now in the reminder system.  It will remind our clients as well as us of when their package is going to expire.

*Try to coordinate reminder dates for patients.

*If we get a prescription request from an online or nearby pharmacy please give the info to Erika along with the patient’s chart that they want the script for.

*We only need to write pertinent information on the surgical sheet for each patient on the things they need done that day.

*Make sure to give me time off requests for the summer time asap.

*Triple check medications. Make sure it is the correct medication, right directions, right quantity, right patient.

*Triple check charges!  Make sure all charges are inputted, including lab charges and meds.  When the doctor comes out of a room and gives technicians the chart, the techs put in ALL charges, meds, etc., finish up in the room then take the client and patient to the receptionists and hand them the chart so they can check out the client.  This will help limit mistakes, confusion, etc.

*Make sure to try and follow through from start to finish to eliminate confusion and mistakes.

*Make sure to tell all clients that there is a charge for fecals.  If you hand a client a container, tell them the fee to submit to the lab is $33.  You can either pre-pay or pay when you drop off the sample.  Do not send a fecal into the lab with out payment.

*Stay on top of packs.  Make sure they get put into the autoclave and run it.

*Pooper scoop outside daily.

*Stay on top of weekly and monthly checklists during down time.  Manage your time well. We need to keep the clinic in tip top shape.

*People need to make sure all the nitty gritty fine details are completed every night before going home.  Two people need to stay together to close.

* Dianna will be doing rehab on Tuesdays, Fridays and every other Monday.  See the schedule if needed.  Let’s advertise rehab more!  We could be helping so many more of our patients!  Weight loss, sporting dogs, hunting dogs, injury, post surgical, neurological, etc!

*I have put together a new cage card that we will implement.  Please familiarize yourself with it.  Circle “See Chart” in any location that info is not documented on the cage card, the info is in the chart instead.  We need to keep all cage cards.  They need to be documented well for AAHA.  They view the cage cards as extremely important and part of the patients file and medical history.

*Last, but certainly not least, great team work!  We need to focus on communicating well with each other.  If you are frustrated then communicate your frustrations professionally to whomever you may be frustrated with.  Use a frustration card, if needed.  You can always come talk to me with your frustrations.  I can not help if I am not aware of issues.  Praise your fellow team members too!  Communicate the “good jobs”!  Please tell me the fabulous things either you or a team member did. We are an amazing group of fabulous ladies!  We have a cream of the crop group of people.  We all have different skills to bring to the table.  Share your knowledge, no egos, no favorites, no cliques.  We are here to boost each other up.  We are hard working women with families at home.  Let’s make this a great place to come work!  I am grateful that I get to come work with all of you every day! Keep up the great work!
