Holidays

Hey everyone!

We will be having the holiday staff dinner on November 30th!!  Yay!  We will be exchanging secret Santa gifts that night too:):)  Be sure to pick your secret Santa!!  The gift total is $25.  It’ll be a fun night!

PLEASE everyone be sure to be double checking yourself when making appointments, putting in charges, putting up meds, etc.  There still have been many mistakes so please double check each other and help each other out.  Always have someone double check your drug dosages as well as all of your medications.

I’m working on the December schedule and have quite a few people requesting for time off.  I’m trying to be fair as well as trying to give people the time off they want.  We will be closed Monday and Tuesday 12/24 and 12/25 and Monday and Tuesday 12/31 and 1/1.

I’m looking for quite a few shifts to be covered.  Please let me know asap if you’d be willing to pick up a shift.  I’m looking for the following to be picked up:

Friday, November 23rd 12-5 (tech)

Friday, December 14th 12-5 (tech)

Friday December 21st 8-5 (tech)

Wednesday December 26th 9-7 (tech)

Thursday December 27th 9-7 (tech or reception)

Friday December 28th 12-5 (2 techs)

Saturday December 29th 8-1 (reception and tech)

Staff Appreciation Week/Holidays

Hey everyone!

We are going to bring in lunch on 10/15 (Monday) and 10/18 (Thursday) for Staff Appreciation Week!  Yay!  Since we are bringing in lunch those days we are going to cancel our night out on 10/20.

We would like to take the team out to dinner on November 30th for our holiday party!  Please mark your calendars:) We will do a secret santa exchange:)  It should be a lot of fun!  Any ideas or suggestions on where you’d like to go for dinner?  I’m looking into The Root in White lake…..

We are going to close at 5 the Wednesday before Thanksgiving (11/21).

Important Dates

Hey everyone!

It’s that time of year again where things get busy with different events!  Please make a note of these important dates:

10/21 Halloween Pics from 10-12

11/29 Pet Memorial 5-6:30

12/2 Santa Pics 12-3

We will post a sign up sheet for these events.  Halloween and Santa pics are always a ton of fun!

Just fyi- We have a Christmas tree in the lobby during the holidays.  The clients can hang an ornament on the tree in memory of a pet they lost.  The memorial is a nice night for our clients.  They really appreciate coming in, having some food and talking about their pet with us and other clients that lost pets this past year.  We send invitations out to our clients who lost a pet this past year. It’s just a time to come together and listen and help our clients with the loss of their pet.

You are paid for these events!

Our 6 year anniversary is coming up too!  10/22/12 is the official first day that we opened our doors!  SO exciting!  We have grown and learned so much these past 6 years and wouldn’t be where we are with out all of you!  I hope you are proud to be a part of such an amazing team!

Tech week (but we like to call it staff appreciation week) is 10/14 through 10/20.  It’s always a fun week to celebrate!

We are closing at 4 on Halloween so we can be home for trick or treating with our families!:)

Client Service

Hey everyone,

Thank you so much for working so hard.  We really appreciate it!  Thank you to all the newer people for learning so many new things so quickly and to everyone else who has helped with training and answering questions.  We have a great team of amazing people!

Please read the following carefully.  We have had some clients complain and some clients go elsewhere because of customer service over the phone.

*We need to fit in any medical…within reason.  For example- if we have one doctor here that is booked and we have a potential bloat on the phone then you would refer that client to emergency.  It needs to be explained to the client that we are referring you to emergency because we are concerned that your pet is going to need intensive care and potentially over night care and that is going to be the best place for your pet.  DO NOT SAY WE ARE TOO BUSY OR DO NOT SAY BECAUSE WE JUST HAVE NO TIME OR BECAUSE WE JUST HAVE ONE DOCTOR HERE…..THE CLIENT NEEDS TO UNDERSTAND THAT WE ARE REFERRING THEM GO ELSE WHERE BECAUSE IT IS IN THE BEST INTEREST OF THE PET!  But if we have a client on the phone that’s pet is showing sign of a uti then we do what we can to see that patient that day.  We had an existing client that called us because her pet had signs of a uti and she was told that we had an available appointment in 4 days…..they asked for their records and got in somewhere else that day.  So please do what you can to get a sick patient in to be seen the same day.

*Routines can wait.  If a client calls to get an appointment for vaccines then try to book the appointment out a week or two.  We do not need to “fit them in or squeeze them in”.  If the pet needs to get in for vaccines for boarding then obviously the appointment may need to be scheduled sooner than that.

*Phones should come first.  Try not to leave people on hold.  If you are in reception and a client walks in and the phone is ringing then wave to the client, acknowledge the client with a smile and finish your phone call first then help the client after that.  Thank the client for their patience.

*If we have a third receptionist who is working upstairs that day then that receptionist is in charge of answering the phone.  Obviously if she is on a call already then the other receptionists will need to help out with the phones.

*If you see a line on hold.  Pick it up and ask the client if they have been helped.  Do not just assume that they are being helped.  The sooner the client on the phone is helped, the better.

*Do not spend too much time on a call.  Obviously be pleasant and help the client with what they need but do not prolong the call any longer than necessary.

*Our clients come first.  We would not be here with out them.  We need to be polite, courteous and try what we can do to offer exceptional customer service.  Please be patient, be kind and make the clients feel important.

CIV

CIV

Hey everyone!  Here is the most up to date info on Canine Influenza.  We have had numerous client calls concerning this.  I will be sending out an email to all of our clients concerning influenza and our protocol on it. This is our protocol as of now:

*As of July 20th there have been 4 confirmed cases of H3N2, one being in Oakland County.

*Signs of CIV are dry hacking cough, coughing up white phlegm, lethargy, vomiting, lack of appetite, rapid breathing and fever.

*Any suspected case needs to be handled cautiously. Have the dog wait in the car if there is not a room available (obviously with the owner and with the air going).  When the dog enters the clinic, have it go straight into an exam room. (Room 5 preferably since it is more isolated and not used as frequently).  Limited staff members need to come into contact with the patient.  The patient needs to be housed in isolation if it needs to be hospitalized.  A 1:30 bleach solution needs to be used to disinfect any area the dog has come into contact with.

*We will have the Vangard H3N2/H3N8 vaccine available once it arrives. (Should be here by 7/25).  This is not an emergency! We can vaccinate dogs who need to go into boarding, daycare, grooming, etc.  We are not recommending that ALL of our patients be vaccinated at this point.  If a client needs the vaccine for their pet to go into boarding then that appointment can be made with a technician.  Attention technicians!: Be sure to explain to the client that this is a new vaccine so they need to watch their pet for signs of a vaccine reaction (hives, swelling, lethargy, vomiting, etc.) The vaccine will need to be boostered in 3-4 weeks then annually from there.

The codes in the computer are CIV H3N2/H3N8 Series, Final booster and 1 year. They are $32 each.

Schedule

Hey everyone,

We have a few new faces so please make them feel welcome and help them out with answering questions, training and guiding them into the right direction.  Working together as a team is vital right now so please help each other out, communicate and be patient with one another.

The schedule, as always, is a bit tricky.  If you ask someone to cover your shift, please let me know.  It is not authorized until I know and authorize it.  If you swap shifts with someone, make sure it is swapped hours for same hours. (Ex- if you swap with someone make sure it is swapping 10 hours for 10 hours or 5 hours for 5 hours).  Again, it is not authorized until I know and authorize it.

If you ask for time off, I will put it on the schedule when I get your request.  Please double check the schedule that I gave you your requested time off correctly.  (Check the dates). PLEASE MAKE SURE YOU DO THIS!  I DO NOT WANT TO MAKE A MISTAKE ON YOUR TIME OFF!  ALWAYS DOUBLE CHECK THE SCHEDULE. THANK YOU!

We can not have more than two people off at one time.  It is important that if you know of time off that you need that you submit it as soon as you can.

If you leave to grab lunch, run home or run errands, you need to clock out.  You can clock back in when you come back to work.

We strongly recommend on bringing your lunch with you on days that you know are going to be extremely busy.  It helps save time so you don’t need to run out.

We have had a few mistakes across the board in this past week.  Please slow down and double check yourself.  Also, please follow through on tasks that were given to you or that you see need to be done.

I will be placing a name tag order next week.  Please let me know what name tag you want.  If your name tag is falling apart please place an order with me for a new one.

We have four weeks this Summer of having just one doctor (Unless we hire a new doctor before then).  During this time we usually ask for people to take some time off.  We do not require you to take the time off but I will list the days below that we could use a few to take time off.  If we do not have people take time off, there will be a lot of people here.  If that is the case then everyone will need to stay busy.  That means cleaning, stocking, maintenance on machines, organizing, poop scooping, etc.  People may be asked to go home if we notice that people are not staying busy.  Again, here is the list of days that we could have people take off. If we hire a new doctor then this all will change!  So FYI, if you volunteer to take a day off, then we hire a doctor, you will need to work your original scheduled shift.  I  know this is not cut and dry but we are doing the best we can!  Thank you for your patience and understanding!  We appreciate it!

Once again, if we hire another doctor then you will need to work your original scheduled shift.  Obviously, I will try my best  to accommodate you if you take a day off and make plans:):)  Thank you! Below are the dates and number of people we could have take off:

Hey everyone!

Ashley is taking on maintenance and sending in for repairs of machines and equipment.

Also, please log your CE in our book!!  Please take it upon yourself to get that put into the book!  Our AAHA inspection is on July 12th so we need to make sure we have that all logged before then:)

AAHA Inspection

Hi everyone!

First of all, THANK YOU!!! for all of your hard work, blood, sweat and tears!  We can’t express enough how much we appreciate each and every one of you.  I know we have been extremely busy and you all have been working so hard so for that we thank you!!

We plan on having a team meeting 6/12 to cover some side notes, aaha inspection and osha.  If you are not scheduled to work then please come in if you can but if not then no worries!  (just make sure to see me so I can go over things with you)

We are asking aaha for an extension but we need to plan still for our inspection to be on July 12.  I am making a list of things that need to be completed prior to the inspection.  Any help crossing off items and getting things done on the list would be amazing and appreciated very much!  Examples of things on the list are cleaning, getting proper labels on bottles, sterilize any surgical items that have not been sterilized in the last 6 months, writing down all of your CE and much more!

PLEASE write down anything that you notice we are getting low on or out of in the notebook in my box with the date and your initials. I’m going to be ordering on the fly right now so I don’t have a ton of time to focus on ordering and inventory so any help would be very much appreciated.

Just to keep everyone in the loop we do have ads out for a doctor, technician and receptionist.  If you know of anyone looking for a job in any of those areas then please direct them my way!!
