Lab work

Hello!

There is lab work that is getting put into charts and getting refiled before a doctor sees the results.  How is this happening!?  When lab work comes in, we need to mark it off in the lab book or take the sheet out of the lab book, find the chart and put it in the doctors box or next to the printer in the lab if it is a negative heart worm or fecal test.

From now on, when you check in lab work, put your initials in the lower left hand corner of the lab work, find the chart, either put it in the doctor’s box or next to the printer if it is a negative fecal or heart worm test.

If you see a random chart laying in the lab….don’t just refile it! Look inside the chart to see where it needs to go.

If we continue having problems then I will assign a person each day to be in charge of checking in lab work.

Housekeeping

Hi team!  I hope everyone is enjoying the change in the weather:):)

I have been working in the lab and surgery this past week so I have seen a few things as well as a few things have been brought to my attention that I would like all of us to work on….

  1. DO NOT PUT THE CLIPPER BLADES IN WATER!!  If you notice that clipper blades are dirty, then please place them on the counter and clean them with nolvasan if dirty and  and spray with clippercide, once dry, put back in the drawer.
  2. When you notice a sharps container getting full, please dispose of it and replace it with a new one.
  3. When we have dirty ear cones, please bring it to the lab, clean it and take it back to the room.
  4. When you notice the recycle bin in the lab is starting to get full, please empty it into the recycle can.
  5. Can I please have a volunteer to take care of ordering rebates and brochures when we are getting low?  Hopefully this will help us not run out.
  6. Can I also get another volunteer to take care of the referral forms?  They need to be put in the file cabinet and organized.  Hopefully this will help us not run out.

Please take the initiative to get things done.  Please don’t assume someone else will do it.  When you see that something needs to get done then please just do it.  That also goes for the monitors, dental machine, autoclave, etc…..If one of these is not working appropriately then please troubleshoot the problem.  Most of the manuals are by the machines or upstairs in the manual bin.

Please also double check your charges!

Insurance

Hello!

It’s that time of year again where all of our benefits need to be locked in for the year.  Please let me know by May 15th if you’d like to make ANY changes to your benefits.  (Medical, dental, vision, std, ltd, etc.)

If I do not hear from you, I will make NO changes to your benefits and everything will stay the same!  If you currently have no benefits and I don’t hear from you then you will continue the year with no benefits.  Let me know if you’d like to change, add or discontinue anything.

Puppy Class Protocol for Staff

We are going to start offering puppy classes!

Beth will be in charge of classes.

Our first set of classes runs from May 8th through June 12th.  We will offer two different class times.  One class will run from 2-3pm and the other class will run from 6-7pm.  The classes are an hour long and run for 6 weeks.  We will focus on socializing and basic commands.

There is a Puppy Class column in Easytime.  Each puppy that signs up needs to be put in the schedule.  We will take 6 puppies total for each class.  There are 6 slots from 2-3pm and 6 slots from 6-7 pm.  Please put each puppy in the appropriate class time for the 6 week period.

Each puppy needs to have an account with us.  We will need to make an account for the puppy if they are not our patient.

They need to pre-pay for the class.  When they pay that holds their spot fro the class.  There is a code in the computer for puppy class 2-3pm and puppy class 6-7pm.  The charge is $150 for the 6 week session.  The classes will be held next door.  They will need to have a negative fecal within the last 6 months, free of fleas and other contagious illnesses.  They will need to be up to date on age appropriate vaccinations.  Two handlers max per puppy due to limited space.

This is very exciting!  Please be patient as we trial and error this new service we are providing to our patients and clients!

Integrative/rehab

Hey everyone,

Just a reminder that our open house is this Friday!  Yay!

Dr. G will be seeing integrative/rehab appointments all day on Tuesdays, Friday afternoons and one Saturday a month.  ONLY BOOK INTEGRATIVE/REHAB APPOINTMENTS DURING THOSE TIMES! This is starting the second week of May.

I have added the house next door to the end of night list of things to do.  Please make sure the house next door is locked and all lights turned off.

All employee pets who have an appointment with Dr. G or receiving integrative services, rehab services or having laser therapy must be done on your day off.  If you are working, then please take care of your pet when we are not busy and please clock out while you are working with your pet.

We will be hopefully starting puppy classes soon.  More on that to follow!

Housekeeping

Thank you so much to EVERYONE for your patience this last week or so with the computer!!  It’s very frustrating and we’re doing everything we can to try to make things run as smoothly as possible.  Please let me know if you see an error message on any computers or if you are experiencing any problems.  Thank you!

We have had quite a few clients upset when they drop off stool samples.  They are totally surprised that there is a fee….. Please follow these guidelines to hopefully help with the issue.  When you give the client a fecal container let them know that it is $35 to send the stool sample to the lab to the run the test.  Let the client know that they can either pre-pay or pay when they drop off.  It doesn’t matter to us, whichever is easier for the client.  PLEASE GET IN THE HABIT OF HAVING THIS CONVERSATION!  Thank you:):)

Please still be checking, verifying and double checking your prescription labels.  We are still having mistakes be made even after double checking.  Make sure you are following verbatim what the doctor has written down is what you are putting on the label.  Thank you!

Please be sure that you are clocking in when you get to work and clock out when you are leaving……we are still having problems with remembering.  Each employee needs to be responsible to clock in and out for yourself.  Please do not have other staff members clock you in or clock you out.  If you forget then let me know and I will clock you in or out.  Thank you!

I am going to start working on our Safety Manuel (OSHA) and our Hospital Procedures Manuel.  YAY!  Technicians:  Please give me three protocols from the lab that you would like clarification on as well as three protocols from inpatient/surgery.  I will start with those.  Receptionists:  Please give me three protocols that you most would like clarification on and I will start working on those as well.  Is there anyone who is interested in helping me with our OSHA Safety Manuel??  Probably someone who doesn’t already have an extra job would be great.  Please let me know.  Thank you!

Schedule

Hello,

I posted the schedule for April on the fridge down stairs with everyone assigned to their doctor for each day.

I do need about 3-4 people to volunteer to take off April 25th.  It’s a Thursday and we only have one doctor working.  Please remember though that we need an adequate amount of people to open and an adequate amount of people to close.  Thank you!

Also, the only blood work that can be made as an appointment with a technician is pre-surgical blood work.  All other blood work appointments MUST be made with a doctor.

Scheduling appointments

Hello!

Just a friendly reminder to be careful when double booking appointments……

*Please do not double book medical appointments, sick patients, new patients, new puppy or kitten or euthanasia’s

*Please do not double book at 4:00 when a doctor is supposed to come out of surgery….sometimes surgeries/dentals take longer than expected.

*This may mean that we have to book a noon appointment or a 1:30 appointment instead of having the 12-2 break.

*Offer dropping off their pet so the doctor can take a look at it when they have time and the client doesn’t have to wait.

I know it can be very difficult to book appointments when we are already busy but we need to be careful with how the appointments are being booked.  Thank you!

Integrative/Rehab

Hey everyone!

FIRST OF ALL, WE NEED TO BE SURE TO DISCONNECT ALL OXYGEN HOSES FROM THE CEILING AND TURN OFF OXYGEN TANKS EACH NIGHT AND TURN ON OXYGEN TANKS EACH MORNING!

Please be patient with us while we get the integrative rehab house up and running!!  Yay!!  It is going to be trial and error for a bit so please hang in there and try your best to follow (as of for now) the following protocols:

*Clients need to pre-pay $50 for all initial rehab and integrative consults.  Please take a credit card number over the phone when making the appointment.  You can put it in the computer as a pre-payment.  They will not be refunded if they cancel 24 hours or less prior to their appointment.  The $50 can be put towards their consult fee when they come in.

*All rehab and integrative consults need to be scheduled for 90 minutes.

*Please do not schedule integrative and rehab consults or appointments simultaneously.  We can only do one at a time.

*Integrative and rehab will have their own email.  I will let you know what that is once I have that set up:):)

*I have new codes in the computer for laser, rehab and acupuncture.

*All clients who call that are interested in rehab and/or integrative and have a lot of questions need to be referred to Dianna.  Get a number and let then know that she will call them back.

*Please keep a soft hand on all of our patients when restraining.  Especially our old timers and especially in front of clients.  Remember it’s all about how they perceive the situation.  We have has some clients voice their concerns on some heavy handed restraint.  So please be careful with restraint.

*Employee pricing for rehab and integrative is as follows:  $75 for initial consults and 20% off integrative and rehab services.

*The rehab/integrative clients will check in over here at the front desk when they are here for their appointments.  Dianna and/or Dr. G will walk them over to the house.  The client will have to come back to the hospital to get any medications and to pay.

*Is anyone interested in helping out with with integrative/rehab?  Please let me know privately if you are.  We are looking for an extra hand on days that Dianna isn’t here and on days where she or Dr. G may need an extra hand.

*Please always keep integrative medicine and rehab in the back of your mind for our patients.  We need to be recommending these services to our patients who could benefit.  Obviously arthritis, obesity, dysplasia and so many more ailments for rehab.  Skin, behavior, allergies, cancer, immune, renal disease, end of life care and so many more ailments we need to recommend to see Dr. G for integrative medicine.
