Appointments in Easy Time

We are trying to make things easier for us and for the clients……so we are going to try 15 minute slots for appointments.  Instead of double booking every half hour, we would like to try single booking every 15 minutes.  We are hoping this will flow better and our clients will have less of a wait time.  If we think this is terrible then we’ll go back to our original way of booking appointments.

Please be conscious of how you are booking appointments.  Try not to book medicals back to back. For instance, try to schedule a medical then bordetella then medical. Please do not double book the 15 minute slot!

Please be open minded to this change and we’ll see how it works!

Hello everyone,

Wow!  it’s been a while since we posted anything.  We either have been super busy or we just have really good verbal communication skills….or both!  Everybody has been amazing and really giving 110%.  It does not go unnoticed or unappreciated.  Please know you are all very appreciated and we thank you for all you do.

Thank you to everyone who participated in the Memorial Day Parade.  You have a $100 credit on your account for helping out. Yay!

I would like to have a tech meeting and also a reception meeting.  I was looking at Monday, June 9th for reception meeting at 1:30. Does that work? Please let me know.

Then I was looking at Friday, June 13 or June 20 at noon for a tech meeting.  Jaci or Jenna, whoever works till noon that day would stay late for the meeting, Sarah you could either phone in for the meeting on speaker or come in for the meeting. What works for everyone?  Please let me know.

Please let me know if you need any time off for July or August.

Hey Everyone,

Just want to let you know what a great job everyone has been doing!  Keep up the great work.  We are entering our “busy season” so things are probably going to get busier (I don’t know how that’s possible) so please keep smiling, come into work with a positive, team player attitude and energy.

Our kudos board seems to have taken off which is great!  We will draw from the posts that were put on the board monthly and whose ever name we draw will get a prize!!

Heather is coming on board to be a part of our team starting in May.  Please keep this info to yourselves.  Very important to keep it hush hush, especially  when we have reps and outsiders that come in.  She will come on as an assistant.  I will  be training her along with everyone’s help.  It’s very important to train her and show her the ropes with how busy we have been lately.  She will be a great addition to an already amazing team.  Please make her welcome and at home.

The feline rabies vaccine is not available right now due to some issues when reconstituted.  If you reconstitute a feline rabies vaccine and it turns to gel please let me know so I can inform the rep.  If we happen to run out of the feline rabies vaccine we will need to use our canine rabies vaccine until it comes available again.

We have posted a list of summer vacations that employees are planning in the lab on the kudos board.  If you are planning a summer vacation please try not to have it overlap with someone elses if at all possible and let me know of the dates as soon as you know.  Thank you.

We will plan on having a team meeting Thursday May 22 if possible.

Over the counter sales vs in hospital use

Hello!

For tax and book keeping purposes I need to make sure everyone is on the same page and following the correct protocol.

If a non-client comes in to make a purchase (license, treats, toy, etc.) please use account #0  and choose either canine or feline.  Enter in the charges and conclude and take payment as usual.

If you take a product for in hospital use, please enter it under account #1128 and use canine or feline and enter it at normal price.  Once monthly I go through the hospital account and conclude it and file the paperwork for book keeping and tax purposes.

Hello everyone,

Well, we have been staying pretty busy for it being our “slow season” which is great.  Keep up the great work!!  I’ve been trying to set up a team meeting but there just doesn’t seem to be a good time to sit down and go over everything since we have been so busy.  Please check the team portal daily because I will be posting everything here.  If there is anything you would like to go over or have any concerns, please post them here.

Please concentrate on your speed on surgery days.  Patient care is obviously our number one priority so we don’t want to put our patients at risk but the speed needs to pick up a little bit back in surgery.  My recommendation is to stay organized, focused and communicate.  Stay one step ahead.  Once you have one patient under anesthesia, prepare for your next patient so when the doctor tells you to get the next patient down you are ready to do so.  Take advantage of the computer in back.  Throw in charges, medication and homecare in between procedures while your back in surgery.  Make sure those things are done before the owner is here to pick up their pet.  So communicate with the doctor and owner on when you think would be a good discharge time knowing these things need to be done.  Dr. Putt and Dr. Rutsey are used to having up to about 8 procedures in a day.  They are used to very fast paced surgery days so please eat your Wheaties and be ready to go!!! Remember to ask me for help if you need it.  I am more than happy to help out wherever needed.

February is dental month.  Anyone who has a dental procedure in February will be put into our drawing to win a gift basket full of pet goodies and a $100 gift card to use here.  Make sure you tell people this when going over treatment plans.

I have ordered pre-addressed packages through MSU to use when sending tests there.  It is through FedEx and will be more cost effective and time efficient.  Use these to send thyroid, low dose dex tests and biopsies.  You will call FedEx to schedule a pick up whenever you have something to send out.  I will have all that info available in the lab for you.

Our free exams are to be used only once per client.  We have had a few clients try to use the coupon more than one time.  If an existing client schedules an appointment and says they have a coupon please look back in their history to see if they have already used one.  If they have please let them know that that it is one per household and there will be a charge of $45 for the exam.  If a client is here and has a coupon but already used one, let them know there will be a fee of $45 for the exam.  We don’t want to lose any clients over this but we also don’t want people taking advantage either.

Surgery Days

Everyone is doing a terrific job with everything but I just want to reiterate a few things to make sure we have great communication, team work and patient care.

Jenna is the surgery technician on Mondays.  Her job on Mondays is to check in all procedures and from there fill out the daily surgery sheet and everything else that goes with each patient.  I will do fluids, scrubs, etc. Dr. Putt and Jenna need to figure out the order, who is doing what, and what next needs to be done.  Sarah is to help where needed with surgery, dentistry and anesthesia and all else that goes with it.  Jaci is to help where needed and float back and forth from the lab and surgery.  If Jaci needs help in the lab and one of you do not have a patient under, please help her.  Everyone needs to then help out with the cleaning of surgery, etc., instruments, patients, charges and all else that needs to be done in a timely manner.  Discharges should be done by Jenna or Sarah because you are most familiar with the patients you took care of all day.

Sarah is the surgery technician on Thursdays.  Her job on Thursdays is to check in all procedures, etc.  Please see Monday but obviously Sarah takes place of Jenna and Dr. Rutsey takes place of Dr. Putt. Jaci should make fluids, scrubs, etc.  Thursdays are a little more hectic because Dr. Putt is seeing appointments.  I am more than happy to help out where needed.  Please let me know if anyone needs help.  If Jaci needs help in the lab and you only have one patient under anesthesia and one of you are able to stay with that patient then one of you should help Jaci in the lab.  Charges, cleaning, etc. should be done by everyone in a timely manner.  Discharges should again be done by either Sarah or Jenna.

I know surgery days can be hectic which is why it is so important for everyone to work together and share the load of the work and communicate.  This is not all black and white but everyone does have specific jobs that need to be done.  Everyone IS doing a great job.  I just want to make sure we are utilizing everyone in the proper way for our clients and patient’s interests.

12/17/13 update

Our Ova & parasite test to Antech is $30 and Heartworm Test to Antech is $40. (Both increased by $1)

Our PHCP’s have each gone up by $5/month.  Down payment is the same for all packages.

We are using a third party to take care of all our monthly transactions for our PHCP’s which will be implemented later this week.  More info on that will follow.
