Hey everyone!

First of all, thank you for all your hard work!
We appreciate each and every one of you!

Thank you for your patience, understanding and support as we lost my father in law last week. His memorial is this Saturday. I am also caring for my mom as she in the final stages of hospice. Please know that I may not be “at work” but I am doing things remotely so please still reach out to me with whatever you need. I am thinking of all of you and hope that things are going smoothly at work! We have an amazing team so I’m sure you are doing great!

We will be extending any unused PTO that you did not use in 2020. We felt thus was necessary due to COVID. So we will roll over your unused PTO to your next anniversary date. Please let me know if you have any questions!

Schedule

Hey Team!

Thank you for working so hard!  I know it has been tough working through covid so please know that I appreciate all of the extra work you all have been doing!

Please help me welcome Samantha, Leigha, and Michelle!  They are great additions to our team!  Welcome to our team ladies!  Glad you’re here!!

I did send out an email to our clients of a reminder of our covid protocol and to be patient with the staff, stay in their car in the parking lot once we take their pet (do not leave) and to have their phone on them and answer it (even if they don’t recognize the number). Hopefully this will help ……

Believe it or not I am looking for some volunteers to take some time off!  First come, first serve.  And if you are working that day I may have to change your hours to fill in the gaps!

Team Info

Hello team!

Thank you to everyone for your hard work!!  Please utilize the sign and cards that are in the lab to acknowledge our fellow team members’ awesome work, personality or anything positive that you see!:):)

I need to make a friendly reminder to please keep all personal phone use to a minimum.  We have seen a lot of people on phones lately.  We need to be making call backs, stocking, organizing appointments, refilling prescriptions, cleaning, prepping charts, confirming appointments, refiling charts, etc during down time.  Getting all of these extra tasks done definitely impacts the flow of the day so please make those a priority during down time.

Please make sure you are not using any social media or personal e-mails on any work computer.  We risk the chance of hackers getting into our computers as well as people leaving their facebook or personal e-mail open.

Technicians:  Please note that it is your responsibility to help the receptionists clean rooms and get appointments in rooms.  Many times the receptionists are tackling three phone calls and  four clients in front of them so they may not have time to get an appointment in a room.  So please go up front and help out!  Even just a few minutes of getting a client into a room quicker could again impact the flow of the day!

Receptionists: Please only put ONE first available into a room.  I know it’s hard for you to watch them wait in the lobby but we NEED to see scheduled appointments FIRST!!!  These clients are FIRST AVAILABLES so we will see them when a doctor is available.  If the doctor has regularly scheduled appointments in the lobby then those appointments need to be seen BEFORE the first available. (Obviously if the patient is critical then that patient needs to be addressed and triaged by a technician asap).  This heavily impacts the flow of appointments!!!  Be upfront with those clients who are first availables…let them know that the doctor is booked and needs to see her regularly scheduled appointments before she will be able to get to them…VERY IMPORTANT THAT THEY KNOW THIS!

Please be aware of clients/patients in the building before you start vacuuming or mopping.  It becomes very awkward when we are mopping or vacuuming in the lobby when we have clients up front.  Please do not mop the hallways or lobby if we still have people that need to be checked out.  We risk the chance of them slipping and falling.  Thanks!

Team Info

Hello!

We have raised some of our pricing (radiographs, blood work, exams, OC licenses).

Please view the January Schedule.  There are some changes.

We need to be aware of how many employee dogs we have in the hospital each day.  We unfortunately need to limit that due to “the inn” being full and needing the cages that are occupied by employee pets.  We will allow employees to bring their puppies until 6 months of age.  We will also allow employees to bring a pet in if has a medical condition and needs to be seen.  We wish we could all bring our dogs every day but unfortunately we need the space and we need to be fair to everyone across the board.

December Info

Hi Team,

We will be having the memorial on December 5th from 5-6:30.  Please join us if you are able to:) It’s a nice time to talk with clients and help people during a difficult time.

The Santa pictures will be December 8th from 11:30-2:30.  Please join us if you can.  The more the merrier!  Please clock in if you are here.

Our Christmas party will be December 19th at 6:30 at the Genji Japanese steak house in Novi.  If you’d like to participate in the gift exchange then please bring a $25 gift for a white elephant gift exchange.

We are excited to bring on new team members!  Please welcome them, help them feel at home and answer any questions they have.

The December schedule is completed.  Please view the schedule and let me know if there are any issues with time off, shifts, etc.  We will be running light on a few days so please help out where can.  Receptionists, please help vacuum, mop, change garbages etc.  Please let’s all work together!

September Schedule

Hello!

I’ve completed the September schedule! Phew! Please EVERYONE look at the schedule very carefully.  There are a lot of changes.  You are responsible to view your schedule and make sure you are here, at the right shift, ready to go:):)  Let me know if you have any questions or if something doesn’t look quite right.

We are still in the process of hiring a veterinarian and a technician.  Fingers crossed we find someone soon!

A few housekeeping items

Hi Team!

Thank you for your hard work!  Just fyi- we have had ads out now for a while looking for a vet but unfortunately we haven’t had any luck yet.  We are still very actively looking and hopefully we’ll find someone soon.  In the mean time, please continue to do the best you can with getting patients in to be seen.

Please, please, please remember to be patient with one another, respect each other, stay positive and professional.  Team work is crucial so please keep in mind how you can contribute positively and negatively to the team.  Please work together, help each other out, be friendly, smile and be happy to help each other out.  Some times the tone of your voice, roll of the eyes, a heavy sigh can pretty quickly put a damper on the day, so please keep that in the back of your mind.  We have the privilege to work with amazing people so lets continue to work on having an amazing team that works well together!!:):)

I’m re-vamping the end of night check list so please look that over carefully and make sure ALL the things are getting done every night before you leave.

The integrative/rehab center has really taken off!  We are so excited to have Dr. G and Dianna available to provide these awesome services.  We are still trying to trouble shoot and figure out how we can smoothly have Dianna and Dr. G work over there and here so please help out as much as possible!  We want to implement and reiterate a few things to help them out as much as we can:

  1. RECEPTIONISTS!! Please have the charts prepped for the rehab/integrative appointments.  (Have the paper work in the chart completely filled out).  If it’s a new patient then have the client fill out the authorization form (FRONT AND BACK).  PLEASE HAVE THIS DONE PRIOR TO DIANNA COMING TO TAKE THEM OVER.  THIS WILL HELP MANAGE TIME BETTER AND MORE EFFICIENTLY!!!
  2. Dianna will have her cell phone on her.  Please text her and communicate with her to let her know that there is an appointment waiting, etc.
  3. Dr. G has Dianna and one other tech working with her each day she is at the house.  Dianna will have her cell phone on her so I want Dr. G’s other tech to also have her cell phone on her.  Dianna will text you medications, food, home care sheet, etc. that need to be put together for the patient they are working on.  Please work on that efficiently so that everything can be done (or almost done) for the client when they come over to check out. (again this will better manage time). If texting is too difficult then call each other!!  The other tech can have a piece of paper and write everything down if that’s easier.  I would like this tech to finish up with the client while Dianna gets the next appointment over to the house and going.
  4. Dianna has rehab appointments on Thursdays.  Obviously this is not ideal but the only time these clients can come in.  So the two technicians who are working in surgery with Dianna, (Usually Carrie and Courtney) please help her out as much as you can so it lessens the stress load on her.  (Help get patients down and recovered, feed her patients, help with pulling iv’s, home care sheets, meds, etc., do a dental or part of a dental so she can eat lunch or get other things done if needed)  Again, that will help manage time better.
  5. Please communicate with Dianna and/or Dr. G at night before you leave to see if they  have a patient that they are working on still or if they need any help with cleaning up or straightening up from the day. (Text Dianna) We will need to leave lights on and a computer in the lab and reception on for them if they still are working on a patient.  I’d like Dr. G’s other tech to stay to help finish with the patient they are working on if needed.  If they are finishing up with a patient but don’t need any help with anything then make sure to still leave lights and two computers on for them but make sure the doors are locked to the hospital.  They will need to use the employee entrance and then let the client in.

Employee Balances

Hi Team,

We like to be able to provide as many products and services at cost for all of you.  We do look at this as an added benefit to being on our team.  With that being said, we do need balances to be paid off within 2 weeks of the time of service or from the time the product was purchased.  We do feel that this is fair and reasonable.  Please let me know if you have any questions or concerns.  Thank you!

Team Meeting

Hey everyone!

We are going to have a team meeting on June 4th which is a Tuesday starting hopefully around 12:45.  We are going to touch on a few things like creating an  osha manual, hospital procedures manual, and some general information…..but I promise it will not be boring!!  I will have prizes!

I have started working on the hospital procedures manual.  This is definitely going to be a process but I will need your feed back and participation….we’ll cover that at the meeting!

Please try to pay off your balances that you have on your account here.  We try to be fair and let you have a bit of time to pay off your bill but some balances are getting pretty high.  I’ll print off your invoices and give them to you.  Thank you!!

Please be sure that when your pet comes to the hospital for a vaccine, medications, blood work, surgery, laser or integrative/rehab services that you list everything that was done and put the chart in my box.  I will put in your charges and I will let you know if I have any questions.  Thank you!
