I need to make a friendly reminder to please keep all personal phone use to a minimum. We have seen a lot of people on phones lately. We need to be making call backs, stocking, organizing appointments, refilling prescriptions, cleaning, prepping charts, confirming appointments, refiling charts, etc during down time. Getting all of these extra tasks done definitely impacts the flow of the day so please make those a priority during down time.
Please make sure you are not using any social media or personal e-mails on any work computer. We risk the chance of hackers getting into our computers as well as people leaving their facebook or personal e-mail open.
Technicians: Please note that it is your responsibility to help the receptionists clean rooms and get appointments in rooms. Many times the receptionists are tackling three phone calls and four clients in front of them so they may not have time to get an appointment in a room. So please go up front and help out! Even just a few minutes of getting a client into a room quicker could again impact the flow of the day!
Receptionists: Please only put ONE first available into a room. I know it’s hard for you to watch them wait in the lobby but we NEED to see scheduled appointments FIRST!!! These clients are FIRST AVAILABLES so we will see them when a doctor is available. If the doctor has regularly scheduled appointments in the lobby then those appointments need to be seen BEFORE the first available. (Obviously if the patient is critical then that patient needs to be addressed and triaged by a technician asap). This heavily impacts the flow of appointments!!! Be upfront with those clients who are first availables…let them know that the doctor is booked and needs to see her regularly scheduled appointments before she will be able to get to them…VERY IMPORTANT THAT THEY KNOW THIS!
Please be aware of clients/patients in the building before you start vacuuming or mopping. It becomes very awkward when we are mopping or vacuuming in the lobby when we have clients up front. Please do not mop the hallways or lobby if we still have people that need to be checked out. We risk the chance of them slipping and falling. Thanks!
